What Is Claude Cowork (and How It's Different From the AI You've Tried)

Here's the distinction that matters: ChatGPT, Gemini, and even the regular Claude chat are basically glorified search engines. You ask a question, they answer it. Useful, but you're still doing the work.

Claude Cowork is different. It's what's called agentic AI: instead of just answering questions, it actually does the work. You can give it access to a folder on your computer, and it can read your files, create documents, use your browser, and complete multi-step tasks the way an employee would, the repetitive ones that eat up hours (or hundreds of hours) of your team's time every year.

Cowork runs on the desktop version of Claude, where you'll see three modes: Chat (the back-and-forth you already know), Cowork (where the AI does work for you), and Code. Everything in this guide happens in Cowork.

Before You Start: Privacy and Security

Let's address the elephant in the room, because for a law firm it's non-negotiable: client data.

If you're using Claude for firm work, use the enterprise level. It comes with privacy built in, including a contract with Anthropic stating they won't train on your data, plus additional security features on top. Every lawyer we've talked to who uses it at that level trusts it with their data.

That said: always do your own research. You know your bar obligations and your clients' confidentiality requirements better than any vendor does, so make the decision the way you'd vet any software that touches case files.

Step 1: Set Up Your Folder System (15 to 20 Minutes, One Time)

Before running your first task, give Claude a home base on your computer. Create one folder called Claude Cowork with four folders inside:

• About Me: the repository of everything about you and your firm: your practice areas, your preferences, your brand voice, the rules you want followed.
• Inputs (or "Projects"): where you drop the documents and files for whatever task you're working on.
• Outputs: where Claude saves what it creates for you: documents, PDFs, presentation decks, all of it.
• Templates: contract templates, forms, or anything else you want Claude to reference again and again.

In Cowork, point Claude at this folder and click the star to set it as your default. Now every task starts in the right place automatically.

Step 2: Create Your "About Me" File, So You Never Repeat Yourself Again

This is the step that makes everything else easy, and it's the one most people skip.

Instead of explaining your firm from scratch every single time you use AI, you build a single About Me file that tells Claude everything it needs to know before any task: your practice areas, your jurisdictions, your team, your preferences, your voice.

The best part: you don't write it yourself. You have Claude interview you. Give it a prompt asking it to interview you about your law firm, answer its questions, and it builds the file for you: practice mix ("mostly PI and family law, about 10% immigration, starting criminal defense"), which states you're licensed in, which courts you appear in, all of it. The whole interview takes about 10 to 15 minutes.

Then, in Cowork's settings, add one standing instruction: before any and every task, read every file in the About Me folder. From that point on, Claude starts every task already knowing your firm.

A tip that makes this dramatically faster: use a dictation tool like Whisper Flow so you can talk instead of type. You speak far faster than you type, which means you give the AI far more context with far less effort, during the interview and every day after.

Step 3: Connect the Tools Your Firm Already Uses

Connectors are secure, one-click integrations that let Claude talk directly to the software you use every day: Microsoft 365, Gmail, Google Calendar, Google Drive, Slack, Notion, HubSpot, Zoom, call-recording tools like Otter or Fathom, and many more.

In Cowork, open Connectors, browse the directory, click the plus sign next to a tool, authorize access, and you're done. It takes about thirty seconds each. Go through the list and connect everything your firm actually uses. Every connector you add expands what Claude can do on your behalf.

A Real-World Example: Citation Intake, Fully Automated

Back to that client with 75 to 100 citations a month. Here's the system, step by step, and note that this same pattern works whether your firm uses Clio, Filevine, MyCase, or any other case management system.

The setup: inside the Projects folder, create a project folder called Citation Extraction with two folders inside: New (unprocessed citations) and Processed. New citations get dropped into New, one at a time or twenty-five at once.

The instruction: in plain language, like you're briefing an employee, tell Claude to look in the New folder, extract all the data from every citation it finds, enter that data into your case management system, submit it, and move each completed file into Processed. With the Claude for Chrome extension installed, Claude can operate your browser like a real person to do the data entry.

What happens: Claude reads each citation, extracts every field, matches the information to the fields your system asks for, fills them in, submits, and files the document into Processed. When it hit redacted fields in our demo, it stopped and asked rather than making data up, exactly what you want from anything touching client records. You can have it show you each entry before submitting, or let it run.

Then the magic step: when the task runs the way you want, tell Claude, "turn this into a skill." It converts your instructions into a saved, reusable command.
